Membership Terms & Conditions

We ask that all members of our community remain uplifting to their peers (and yes, competitors!) using the space. Whether online or in person, we abide by a spirit of community over competition. Please give more than you take to the Virginia Creative Collective community.

Members agree to all the usual terms and conditions of studio rentals, including but not limited to: caring for our space and equipment, cancelation terms, damage repercussions, and insurance requirements. All active members must have a valid credit card on file in case of property damage. Members will be notified in advance if they are going to be billed.

Online Community

Active, paying members have the exclusive right to share promotional material and sales posts within our private Facebook community on non-promotion days, so long as they do not post promotion content more than once a week. We aim to keep the community engaging and uplifting, and have more conversations than ads. There may be additional promotional opportunities, such as guest blogging, email list features, and Instagram shoutouts. Tag us in your photos, and we’ll feature you!

Cancellation

New members must agree to a three month commitment in order to earn the benefits of their membership, with the exception of the Community Membership, which can be canceled at any time. If, for any reason, a new member cancels sooner than three months, they will be billed monthly for the three months and be able to use their membership benefits within that time, concluding their membership and benefits at the end of the three month term. Other cancellations of membership require a 45 day written notice, so that we can close out the billing cycle and schedule any remaining hours within your plan.

If you cancel your membership and choose to rejoin in the future, you forfeit any right to special pricing or discounts you may have initially received. You must rejoin at the current membership rate. You may still take advantage of any current promotions.

Using Studio Time

It is the responsibility of the member to use their monthly hours each period. The studio is not responsible for compensating or refunding any member who does not utilize their full benefits. We are available to answer questions, help you schedule your studio time, and advise on the best options for you. But, we may not send reminders if hours are set to expire and have not been used. Please keep track of what you have available.

Roll Over Hours

Members may roll over a maximum of two hours of studio time into the next month, if they notify the studio admin. These roll-over hours may not accumulate from month to month, meaning at no time will a member have more than their regular hours + 2 rolled over hours to use in one month. Additional hours may be purchased using our regular scheduling tool.

Reschedule Policy

We ask that you make an effort to minimize rescheduling needs, or contact us as far in advance as possible. Once dates are blocked on our scheduler, our ability to re-book those times is limited. However, we understand things happen. Clients get sick, supplies don’t arrive, emergencies happen. Please reach out to us to reschedule.

Normally, non-members have to pay a cancellation/reschedule fee of $75 or 20% of the rental cost, whichever is greater, if they need to change their reservation and give more than 48 hours notice (or two business days). Unused hours will be refunded, and only the cancellation fee is kept if the reservation is canceled or reduced. Reservations canceled within 48 hours forfeit their fees.

As a courtesy to our members, we offer more flexibility and reduced costs for reschedules and cancellations. Members have a cancellation and/or reschedule fee of $25 or 10% of the MSRP reservation cost, whichever is greater, as long as VCC receives written notice of 48 hours (two business days) prior to the reservation time. If less than 48 hours notice is received, the member can choose to either lose those hours for the month, or pay a one time $100 fee to reschedule their reservation.

Headshot Events & Workshop Opportunities

Headshots will be offered at regular membership gatherings. In order to redeem your headshots, you will need to attend one of these scheduled events. Headshots can not be redeemed for an individual session, but you are welcome to book a session with one of our photographers, or trade images with a photographer friend during your monthly studio hours.

The same applies to workshop tickets and discounts. You are responsible for redeeming your benefits and taking advantage of the full value of the membership. VCC is not responsible for reimbursing or refunding members due to unused benefits. Members will receive priority registration and early notice on upcoming events via our email list. You must be an active subscriber and keep our email address marked as a “safe sender” (for spam purposes) to ensure you see these notifications in a timely manner.
